We have just completed all the book keeping for our first month on the new
payment plan system. And I would like to take a minute to thank everyone
for all their help and patience during the transition. For the first time,
we have reached the $5000.00 mark in membership fees! This is a very
important milestone because it means that the club is just about breaking
even for the month of October. We still need to add new members and grow
the club so that we reach our monthly goal of $7500.00 a month, which will
allow us to have a small buffer each month to cover other expenses that come
up during the year.
We could not have made this change without everyone¹s help and
understanding. However, there is one person who was crucial in this
transition and that is Patti Keeling. Many of you may not know Patti. She
often comes in when the office is quiet and there aren¹t many people around,
but without Patti, we would not have gotten through last month or be moving
in the positive financial direction we are today. Patti has worked
countless hours in the last couple of months to revamp the Quicken system
for the new membership plans and get it ready for October. She cleaned up
the membership files and worked with our CPA, Seth to ensure that everyone
was in the system and the new system reflected what we will need in the
future. This was a huge undertaking that Patti volunteered for and in doing
so she gave us all a big gift. Thanks to Patti for all her work and
efforts. We would not be where we are without all of your help and efforts.
The next step in the process is to roll out the volunteer program. We will
be doing this at the first of November. We had hoped to have this out in
October, but there was just too much to do with the payment plan transition.
There will be a volunteer sign-up book at the front desk that will allow you
to pick your task and record your hours. As you know, as part of the new
membership program, we are asking that members volunteer at the club for 2.5
hours a month. If you don¹t have the time to volunteer please see us, there
are many ways to support the club and we will be happy to work something
out.
To keep all the good progress we have made moving forward, it is very
important that we train a small group of members to work in the office. We
don¹t want to have an office system that only a few of us know and that
falls apart if something happens to one person. This is a great way to give
back to the club and to learn the ins and outs of fencing. You will have an
opportunity to meet the other parents, get to know the fencers, and you will
be doing the AFC community a big service. So if you think you will be
available to work in the office for 1 or 2 hours a week, please email me and
let me know what night you are available and what hours you can work.
We would like to have someone in the office from 4:00 to 7:00 every evening
and from 9:30 to 12:00 on Saturdays. Those will be our official office
hours for the future (this was Drew¹s idea thanks Drew).
Thanks again to everyone for all your help!
